At PX4 Software, we work closely with land managers, exploration, and legal teams operating in some of the most complex regulatory environments in the world. Our customers manage portfolios that span jurisdictions, asset types, agreements, and reporting obligations often with small teams and tight deadlines. As our user base has grown across North America, it became increasingly clear that one of the most valuable resources for PX4 users is each other.
That realization led to the launch of the PX4 User Group: a customer-led forum designed to support knowledge sharing, practical learning, and ongoing collaboration. This blog post outlines the purpose of the PX4 User Group and recaps key themes and insights from our first session.
What Is the PX4 User Group?
The PX4 User Group is a recurring forum where PX4 customers come together to discuss how they use the platform in their day-to-day work. Rather than formal product demonstrations, the focus is on real workflows, practical challenges, and peer-driven solutions. Users can ask questions, share approaches, and highlight areas where the software can continue to evolve.
The goals of the PX4 User Group are to:
- Optimize software training and day-to-day use
- Support peer-to-peer knowledge sharing across organizations
- Enable real-time communication and collaborative problem solving
- Share industry- and jurisdiction-specific best practices
- Incorporate customer feedback directly into product development
In short, the user group is designed to help customers get more value out of PX4 while ensuring the platform continues to reflect the realities of modern land management.
Recap: Our First PX4 User Group Session
In December 2025, Our inaugural PX4 User Group session brought together customers managing diverse portfolios across multiple countries, states, and regulatory frameworks. The discussion was highly practical, focusing on how users are organizing actions, reports, agreements, and permissions within PX4.
Action Management by Jurisdiction and Project
One of the central themes of the session was how users manage large volumes of actions. Participants agreed that the most effective approach depends on the scale and geographic spread of their portfolios.
For users working across many regions, managing actions by jurisdiction has proven essential. Claire Sebald shared how her team at KoBold Metals manages actions across ten jurisdictions including across Europe, Canada, and multiple U.S. states. Filtering actions by jurisdiction and authority type allows her team to isolate specific obligations, such as Alaska state mining claims, even when managing hundreds of claims at once.
Other users noted that teams focused on fewer regions may prefer to work primarily by project, switching between jurisdiction and project-based views depending on the task at hand. The flexibility to move between these perspectives was highlighted as a core strength of PX4.
Bulk Actions, Documentation, and Audit Trails
The group also discussed the growing importance of bulk action completion for repetitive tasks such as affidavits of assessment, rentals, and recurring payments. Recently introduced bulk completion functionality allows users to complete multiple actions simultaneously while attaching supporting documentation.
Participants emphasized the value of attaching scanned affidavits, draft filings, and confirmation documents directly to actions. This creates a clear audit trail and allows teams to verify work before final completion—an especially important requirement in regulated environments.
The ability to reassign actions across team members was also highlighted as a key feature for small, distributed land teams managing heavy workloads.
Permissions, User Groups, and Data Integrity
Strong access control emerged as another critical topic. Users described managing permissions through jurisdiction- or project-based user groups to ensure team members can only edit data relevant to their responsibilities.
This approach helps prevent accidental deletions or unauthorized changes, particularly when teams are spread across regions. The activity log, which records all changes and permission updates, provides an additional layer of accountability and allows administrators to review or roll back changes if needed.
Together, these tools enable organizations to balance collaboration with data integrity in complex, multi-jurisdictional systems.
Reporting, Filtering, and Saved Views
Customizable reporting was consistently identified as essential for managing large action lists and meeting internal deadlines.
Users shared how they rely on filtered views to prioritize overdue and upcoming actions, particularly during high-pressure periods. Saved views created by applying filters and saving them for reuse allow users to log in and immediately see the most relevant tasks for their role.
Examples discussed during the session included:
- Views focused on payment actions only
- Filters for active versus terminated agreements
- Jurisdiction or agreement type specific task lists
There was also strong interest in enhanced rolling date filters, including a 365-day view to support budgeting and annual planning. PX4 confirmed that additional automated and scheduled reporting capabilities are in active development.
Agreement Complexity and Project Hierarchy
A key pain point raised during the session was managing complex agreement structures and claim groupings, particularly in U.S. jurisdictions where claim blocks and affidavit groups are common.
Users noted that managing hundreds or even thousands of individual claim actions can be inefficient when those claims are operationally handled as a single unit. PX4 previewed a forthcoming hierarchical project structure designed to address this challenge by allowing claim blocks, affidavit groups, and sub-projects to be managed under a single project-level action.
This enhancement is intended to reduce action volume, streamline workflows, and better reflect how land teams operate in practice.
Looking Ahead: The PX4 Roadmap and the Role of the User Group
The session concluded with a preview of upcoming PX4 enhancements, including:
- AI-driven dashboards and metrics reporting
- Automated and scheduled report delivery
- Improved performance and pagination for large action lists
- Expanded project management and permitting capabilities
Importantly, the PX4 User Group will play a central role in shaping these developments. Ongoing discussion will continue through a dedicated Microsoft Teams channel and SharePoint site, where users can access session recordings, shared resources, and peer support between meetings. The next PX4 User Group session will focus on agreement management, with several participants volunteering to share their expertise and workflows.
Building a Strong PX4 User Community
The launch of the PX4 User Group marks an important step in building a more connected and collaborative customer community. By creating a space for open discussion, shared learning, and direct feedback, we aim to ensure PX4 continues to evolve alongside the needs of the professionals who rely on it every day.
We look forward to continuing these conversations and welcoming more customers into future sessions. Stay tuned for our next user group to be scheduled in January 2026.
